1. Data controller

The party responsible for the processing of personal data on this website within the meaning of the Swiss Data Protection Act (revDSG / nDSG) is:

2. What data we process, and why

We only process the data we need to run the orchestra and its sessions:

  • Account: your name, email address, phone number and the instruments you play. Used to identify you, let you sign in, and organise the seating.
  • Session bookings: which sessions and seats you register for, and the status of a booking (reserved, confirmed, cancelled, waiting list). Used to run the sessions.
  • Donations: if you donate, your name, email and the amount. Used to process and, where applicable, acknowledge the donation.
  • Forms and newsletter: the email address (and, for contact enquiries, name and phone) you submit. Used to answer you or send the newsletter you asked for.

You can see everything we hold about you at any time by downloading your data (see section 11).

3. Sign-in (magic link and session cookie)

You sign in with a one-time login link we email to you, or with a password. After signing in we set one strictly necessary cookie (ro_session) so you stay logged in for about 30 days. It contains no tracking data and is used only to keep your session.

4. Name on the public seating plan

A session page can show a public seating plan. Your name (first name and last initial) appears there only if you opt in. By default you are shown anonymously. You can change this at any time in your profile.

5. Donations (RaiseNow / Twint)

Donations are handled by RaiseNow AG, a payment provider based in Switzerland, including via Twint. When you donate, the data you enter is processed by RaiseNow to complete the payment. We never see or store your card or bank details.

6. Email delivery

Emails (login links, booking confirmations, the newsletter) are sent through our Swiss email provider (Hosttech). Only the address and message needed to deliver the email are processed.

7. Server log files

Our web server keeps access logs (IP address, time, the page requested, and browser type) to operate the site securely and diagnose faults. Login tokens are removed from these logs. Logs are kept for about 90 days and then deleted.

8. Cookies

We use exactly one cookie: the strictly necessary session cookie described in section 3. We do not use analytics, advertising or tracking cookies, and we embed no third-party trackers.

9. Recipients and transfers abroad

Personal data is disclosed only to the service providers we need to run the site: our hosting and email provider (Hosttech, Switzerland) and, for donations, RaiseNow (Switzerland). We do not currently transfer personal data to recipients in countries without adequate data protection. If that changes, we will update this policy and apply the required safeguards.

10. How long we keep your data

We keep account data for as long as your account exists. Used or expired login links are deleted automatically. Form and enquiry submissions are deleted after 12 months. Booking data is kept for as long as needed to run the sessions. You can delete your account, and with it your personal data, at any time (see section 11).

11. Your rights

Under the revDSG you have the right to information about, correction of, and deletion of your data. On this site you can exercise them yourself:

  • Access / export: in your profile, use “Download my data” to get all data we store about you.
  • Correction: edit your name, phone and instruments in your profile at any time.
  • Deletion: in your profile, use “Delete my account” to permanently remove your account and personal data.

You can also contact us at the address in section 1. You have the right to lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC / EDÖB, www.edoeb.admin.ch).

12. Changes

We may update this policy when our processing changes. The current version is always the one published here.
